To Automate or Not

As I attended a meeting with the PGM in our company yesterday on the automation in the requisition and processing of debit memos, we were asked by his son if the said automation would hasten the process of related transactions or would just only delay the operation.

The Debit Memo system is only a part of the whole accounting system where different charges are deducted from the suppliers’ account, these charges sometimes pertain to damaged items they have supplied to our company, promotional support for their items etc. It’s really hard for me at first (or even up to now) to learn the whole thing about this system because it really requires enough accounting knowledge… Thanks to the programmer who works on this system, he’s willing to help me understand some of those terms and processes that I am not familiar with.

So now, there is an existing system for the requisition of debit memos to return items to supplier for items with damage, stain (for clothings etc.), or inoperable devices etc. This is only a type of form (to be filled up) or transaction for debit memo. There are other debit memo forms or types like Price Rebate—for mark up/down prices during sale, each of these types are done by filling up of different requisition of debit memo forms. The request for debit memo for returned items thus requires a form to be filled up and approved by authorized individuals so to perform the deduction from supplier’s account. This form is passed to different sections before it reaches the accounting department.

Now, PGM suggested that instead of this form, he wants it to be automated. So, the transaction shall be done on computer. A designated person shall enter all the Request for Debit Memo forms (still a form shall be filled up for the basis of what will be entered into the program), this program will be accessed by different authorized individuals to check and validate the requisition and lastly, the accounting department will verify the transaction and then make vouchers.

Now, going back to his question, I say yes, it would hasten the process because no forms will be passed from a section to another which sometimes causes delays in the transaction. The automation will provide better transaction processing. Moreover, accuracy for the PLU items and its descriptions are ensured since in forms, handwritten PLUs and descriptions sometimes do not match which will take real good time to verify these from the one who prepared the requisition form. Stock adjustments will be performed automatically since this program will be directly linked to an existing system for stocks control which means minus one task for us at MIS. Really, I believe the operation will provide less time for a transaction to be completed than that of the existing system. There are yet disadvantages for the new system like in case of power failure, database corruption, program errors if any and few other cons that we may encounter later (we can always go back to basic anyways in case…hehe) but positively, the system is equipped with pros that makes it more reliable, faster and accurate than the existing system.

Since, I have not answered him yet with his question (while he was asking that question, our HR manager suddenly came up to the office and broke into our conversation to bring some odd information to our PGM that made him postponed our meeting yesterday to some other day), I am preparing myself to present to him the advantages and disadvantages of both systems (existing and automated system) and further provide a flow chart to understand the differences in the operations between them so he himself can decide whether to go for the transitions or not… GOOD LUCK TO ME… =)

I MISS MY FAMILY

I realize now how I miss my family… For four months, I got no time to have a real quality time with my family… Unfortunately, my rest day is TUESDAY when my sis is at school and my parents are at work… I really miss them badly…

I asked for my Pap’s advice on a change rest day from Tuesday to Sunday, and he did not approve… He said that it is not a right thing to be demanding at this time when I am still a new employee… He added that I must get used to the new chapter of my life and that, it’s part of growing up as a more mature person… I got it…

But I still miss them…huhu iba na talaga ang buhay ko ngayon…

Scandal

It’s been quite a long time to update my blog, it’s because I always did not have enough time to do so. Now, since I am not kinda stressed out, I finally had a time to sit down in front of my laptop and click MS Word icon after a long time…=)

I’ve decided to write something that could explain my long absence from the blogosphere. That is my involvement in a very scandalous event at my workplace …
Maybe you’re thinking right now something really nasty, “igat-igat” or to some extent sex issues or what… hehe… NO… It’s about the INTERNET CONNECTION in our section..haha

I am very certain that most of my virtual mates from FACEBOOK, TWITTER, FRIENDSTER, MYSPACE have missed my presence in the virtual world, well, I would like to reiterate my WALL POST on my facebook that says “wala nami internet! nasakpan ni bossing!hehe =) miss my FB, twitter, perezhilton, tmz, informaxona, omg.yahoo, tech.yahoo, and omegle...hahaha” dated August 1… Yeah right, our ILLEGAL internet connection in our office has been discovered and removed!

A big OH NO!

Well, it happened last July 29, 2009, when our SPECIAL PRIVILEGE has ended…haha No one has anticipated that it would be the day that the internet connection will be found out after 5 years of cover up! Luckily, it was not me who was caught accessing the internet but my newest co-employee whom I really loathe of from the start. He’s really, really lazy, in fact, all he could do in a day was to search for KOBE BRYANT’s updates, news, related articles etc. He’s that fanatic, very much that it brought our whole section’s involvement to one of the biggest scandal ever in our company. (I even thought he had a great homophobic crush on him…grrrr…)

Actually, I was somewhat happy with the unexpected discovery of our internet connection because it made everyone in the section less lazy… I mean they come to office to WORK… And I would like to share that actually, the night before the SCANDALOUS event, I was very, very sad and pressured since I was called earlier that day, July 28, and was scolded by the son of our PGM (the one who’s so strict to the bones!sh*t), since he has given me a task to collect all the software and in-house programs installed on each computer unit (approximately, 105 computers), and file it to each folder (each computer=one folder). Technically, I’ll not be the one to collect all these info but the four computer technicians we have in our section, which means, I was given by him the authority to instruct these men to collect those. I have actually started giving the instructions days before July 28th, it’s just that, I cannot demand on these people because they did not recognize my authority to do so. And so, that day, since I was not able to present the inventory, he scolded me which frustrated me a lot…

So, that night, I went home and again, asked for my Papa’s advice on that matter… Gladly, he was able to enlighten me again on how to deal with coworkers with different attitudes and personalities… I have shared all my thoughts on him and I was so grateful for his advices and suggestions… (Maybe I can write about it later on my blog post…it’s really a worthwhile thing to share with you…and I am very lucky to have my father to be there as my best adviser…always…) Later that night, I prayed that God would help me on my situation so to overcome my fear on my boss, and inferiority over my colleagues at work…

And so, the next day! The PGM’s son has discovered the internet connection in our office because of a pic of KOBE BRYANT flashed on the monitor in front of Mr. LAZY (our recent computer technician)… It was then learned that our switch was connected to the OPGM’s switch where the three computer units for AUTOCADD operators are also connected to… These are the only computers connected to the internet and every back office personnel can use them provided with the reasonable purpose that these internet researches are work-related and are approved by the PGM or by his sons… The cable wires are immediately traced and really, I’ve witnessed how angry our PGM upon knowing all these things… (luckily, everyone in the Admin and OPGM don’t see my involvement a really bad one compared to my officemates who lied to them for YEARS…)

From that, everyone has experienced the great changes from ”CELLPHONES ARE NOT ALLOWED” on the office to SURVEILLANCE CAMERA installed in our section! PLUS time-to-time unpredictable appearances by PGM, or by either of his two sons into our section which made everyone to be (should be) BUSY!!! Really doing the REAL THING eh!

On my part, I was not greatly affected about the consequences (well, the cellphone ban thing is a worst thing though) because from the start, I always see my work tasks as TOP PRIORITIES for the day…well, I do access the net during IDLE times only… But on them, especially, the computer technicians, they’re already TWO left, since the other TWO lazier computer technicians were terminated, most of them in our section really felt a GREAT CHANGE… more pressures… responsibilities and so on and so forth…

And because of this, two of my officemates, the only girl I work with in our section (Vic) and the one whom I see at least NOT lazy among the technicians (RR), were already not allowed to enter the MIS, and so, I, ME, MYSELF…. (huhu…hehehe) replaced them… I am the new OPENER and at the same time… I was given additional tasks which were Vic’s former tasks on MIS… So now, I belong to SDS “slash” MIS.

Today, we’re down to 7 personnel in Software Development Section (SDS)… But one programmer and Vic are resigning, one computer technician noted his END-OF-CONTRACT by end of this month to the HR… So that would bring down the number to 4… And Vic’s resignation will really be an OVERWEIGHT on my shoulder (ha-ha-it’s not funny)…huhuhu! I am very dependent on her since she has more experiences on our tasks… so replacing her…would mean LOT of pressures… MORE responsibilities and tasks… however, that also would mean, GREAT experiences! But I am still afraid…huhu MY LIFE WILL START KICKIN’ REAL STONES ON MONDAY (without VIC anymore…huhuhuhuhuhuhuh)…

So, I guess, before, our HR will post job hiring on our company…unahan ko na lang sila…

SOFTWARE DEVELOPMENT ASSISTANT (that is my job position… I am very sure they’ll find another assistant… alangan ako ra isa…nabubuang na…hehe werla ko ana… Definitely, one who can do documentations but I guess, I need a partner who can be really responsible like me… I need a partner with a good attitude! I am really, really serious! Hate ko jud ang mga tapulan ug iresponsable… Someone who can positively and negatively imagine a JOB under a CHINESE BOSS)

COMPUTER TECHNICIAN (I must say, a really experienced one on POS machines… a great advantage…! Kanang hawd jud ug may attitude pud uie…dili tapulan, dili gaabsent, ug dili permente malate tawn uie!)

Kana lang siguro…hehe Well, I’ll post a FINAL job hiring here in my blog if the HR will post a FINAL one too…hehehe Pahibalo ko lang ni nga mga butanga uie..hehehe

My Uniform


I was really excited about wearing my pink uniform aside from it has lessened the bulks of laundries I do every week, it has made me feel a career woman already..haha Though I spent PhP 2,500.oo for the two sets of blouse and pants + one blazer, I was really glad that July 25th I'd be wearing it...

I knew that I would catch lots of attention from my co-employees because actually, there are a few employees who already worked for 6 months but still they don't wear uniform since they still can't have enough budget on it. And I was right, last Saturday, I wore it with confidence and from the employee's entrance, pairs of eyes were on me and I just ignored it. Then the timekeeper (a very noisy one) had shouted "Uy Glay nag-uniform na lagi ka?!" and I just smiled, someone on my back added, "Wow, magdugay jud diay siya kay nag-uniform naman." And I thought that (since it was sarcastically said) 'Oh yeah, magdugay man jud ko. Ngano gud dili. Kaya man nako ang disiplina diri." I thought of it because, I've heard lots of complaints from my co-employees bout the strict management, my boss is a Chinese by the way, can you imagine how it's like to be under with someone who's life is business?

So going back to my uniform, after that, my favorite co-employee, Ms. Jo, noticed me and said "uyyy"... She had always prayed that I will work longer with her than her previous MIS relievers, and wearing a uniform partly answered her prayers...haha

Finally, I forgot to tell you that July 25th was a GENERAL ASSEMBLY of all employees, we all gather to attend a monthly meeting and watch special production numbers prepared by assigned sections for that month, and lastly, we witness recognitions for best section of the month, employee of the month and the likes. With this, I have also known that it'd be best if I wear my uniform when there are lots of employees to notice me so they'll start to get to use to seeing me in uniform (para kaisahan lang bah!hehe).

For now, I learned some drawbacks on wearing my uniform, first, some employees mistakenly discuss terms with me that I hardly understand because they thought, I already worked longer than they expected upon wearing this uniform. Second is, more tasks have been given to me. And thirdly, there are jealous people around talking behind my backs which I really hate, I know they were thinking like sayua nag-uniform uie and the likes... I guess it's not my fault that I can afford right? and even though I am only earning little as what they think, I always monitor my budget, I actually do have a budget software to monitor my expenses and savings. And so I was able to allot enough budget for my uniform. I certainly know they are just really jealous because I believe I am cute on my new uniform...hahahahaha ngeeeee....

New Challenges...

I can already feel the great pressures on my job...

This is it!

My boss has decided to add another tasks which just proves the company's great trust on me...

I was really overwhelmed at the same time, excited about those things that I'll be handling... Aside from, the job is directly related to my course, (not programming by the way), it is all about MIS, I really love to handle those things involved in the section...

On the first night of training, I was like being fed by strange things that were completely new to me that I had a hard time to catch up with what has my colleague been telling to me for almost 2 hours... I barely remember all the reminders and confidentialities she has shown and demonstrated to me.. She's really fast... I understood though that she's doing it because she sees me as a fast learner (which is really flattering, however, I don't really get it easily)...

I went home an hour and a half passed the supposed time out I should have and I must get used to it...since I shall have approximately 9 work hours a day from now on, to serve the company as part of the "TRUST" thing they had bestowed on me... Though, I was like "WHAT?" at first but then I realize, this is a good chance for me to exploit all the experiences and learnings I'll get from this first job I have... Indeed, the company I am working with, is a real training ground for me...

I actually cried that night since I realize the big weight over my shoulder as I was thinking for my tasks the next day... Really the boss' son scares me a lot since he's really to the max extent, STRICT and he really is man of PRESSURE.. Though, he's still on a vacation, I realize that I should do all the things he has left to me before he'll come back which makes me a lil' "stressed".

Luckily, fortunately, gladly and happily, yesterday, I have done mostly all the things he has left to me...

For now, I am motivated with the new task... (Thanks to my Papa, he has encouraged me a lot and his advices made me think + for every challenge I encounter on my job)...

It's a one-week training as CLOSER... And by next week, the OPENER's tasks will be my next assignment...

I'll be wearing my uniform soon...=)
